Prevent users from accessing content in your knowledge base under certain conditions Thu, 25 Feb 2016 10:25:16 +0000 ProProfs Staff You can control readers from accessing specific content in your knowledge base using conditional content rules. These rules can be applied to a lot of elements in your knowledge base – from a single sentence all the way up to an entire folder.

For instance, you can make a help page in your knowledge base accessible only to readers who understand French, while hiding it from the rest of the world. Similarly, you can hide a piece of information in your knowledge base from being viewed on certain devices.

Let’s take an example

We know that there are tons of things you can put conditions on. In this example, we are going to put conditions on some content blocks on the page of a knowledge base.

Here’s what we want:
1) Desktop view – We want to show all the 3 content blocks.
2) Mobile view – We want to show only 2 content blocks
3) Tablet view –  We want to show just 1 content block.
Here’s how it will look, once we set-up the conditional rules for different devices:

Similarly, you can explore many other conditional rules in your knowledge base; to:
Show different content when your online manual is viewed as a PDF – You can set conditions for media output to prevent readers from viewing a certain page or folder in your manual, when they export it as a PDF.
Grant selective access to content based on the role of users – You can enable user group conditional rule to restrict users from accessing a folder or page based on whether they are an administrator, editor or contributor for your knowledge base.
Keep your content relevant to multilingual readers – You can select the site language conditional rule to hide certain topics from readers, who are viewing your knowledge base in a specific language such as Spanish, French, Dutch etc.

Best practices to create survey welcome & thank you pages

Don’t waste customer’s time – The truth is that nobody really likes to take surveys. Especially, ones with long, boring introductions. That’s the reason why we kept the text short in our welcome page. Just 2 or 3 lines sharing the most important information.

Explain the who, what and why – On the welcome page, we found three things that needed to be clearly explained:

  • Who – Telling respondents who we are, so we mentioned our brand name clearly in the headline, “Share Your ProProfs Experience”.
  • What – Educating customers about what the survey is exactly about – “we could work together in featuring your success story in our case study section”.
  • Why – We wanted to motivate our customers to share their success story, so we mentioned how their feedback would help – “we believe your story will be an inspiration to other companies.”

Build trust with respondents - Before taking a survey, there are a number of things that might cross a respondent’s mind: How much time will it take? Will the information I provide be confidential? It’s a good practice to mention the time or include a confidentiality statement etc, on the welcome page, as this helps to build trust with respondents.

Customize the pages to suit your brand – This feature is really flexible in terms of design. On the welcome come page you can add custom images, headers and even customize the call to action button to match your branding.

Find a great way to show your appreciation – On the thank you page, you can show you appreciation in a number of ways. What we did was go with the famous saying – “a picture speaks a thousand words” and included the You’re Awesome GIF image.

Tell them what’s going to happen next – The thank you page is where you let respondents know their feedback has been recorded. We wanted our customers to feel reassured and included information on when they could expect a response from us - “we will get back to you in 3 business days”.

With HelpIQ, ProProfs recognized the opportunity to expand its ProProfs Knowledge Base features and benefits.

When faced with the opportunity to acquire HelpIQ, we carefully evaluated whether we could bring value to both our own customers and the people who were already using HelpIQ. We made the decision to acquire the HelpIQ software product based on the fact that we were confident we could provide  huge improvements in service, features and benefits. It was a true win-win opportunity.

HelpIQ joins ProProfs family

When we acquire externally-developed software to improve our existing suite of software products, we make sure that integration with ProProfs is smooth and easy. We started by using HelpIQ software for our internal use. Then we started using the software to power our own public facing knowledge base.  All our products such as Quiz & Training Maker, use HelpIQ to power their support center. In the meanwhile, we integrated the core technology into our knowledge base offering. We know how difficult change is, so we take a strategic approach to integrating any software that we acquire.

After more than six months of working with the HelpIQ software and gradually introducing changes, today we are completing the integration of HelpIQ with ProProfs Knowledge Base.

We are proud to say that legacy HelpIQ users won’t really notice any change other than the location of their login – they will be automatically redirected to the ProProfs Knowledge Base. Now everyone will be using the same platform and will continue to have access to our excellent customer service.

You can create bank forms, online questionnaires, student enrollment surveys and more, which have hidden sections where you can add your comments or notes, once respondents are done taking the survey.

How it works?

While creating a surveyyou can:

  • Hide certain questions from respondents, keeping them visible to only you or other admin users.
  • Add private notes once respondents are done taking the survey

You can easily pick and choose which questions to hide while creating the survey. Let’s take the example of a student enrollment form, which has a total of 6 questions out of which 3 questions are hidden from respondents. These 3 questions can come under a section titled “For Office Use Only” as shown below. You can similarly create a survey and hide any number of questions you want from respondents.

You can add comments and notes once respondents are done taking the survey. The questions which are hidden from your respondents are visible to you under survey reports. You can go to reports and then add responses as shown below.
